This policy explains how we use personal information when you visit lincsleisure.co.uk, contact us or request a hire.
1. Who is responsible for your information?
Ricky McDonnell, trading as Lincs Leisure, is responsible for deciding how your personal information is used (the data controller).
For privacy questions or to exercise your rights, email info@lincsleisure.co.uk or call 07304 017262.
2. Information we collect
- Booking requests: your name, email address, optional telephone number, chosen product, collection and return dates, quantity, estimated price and any message you send us.
- Booking administration: your request reference, status, relevant correspondence, internal notes and a history of changes to your request.
- Accounts, where used: your username, name, email address and sign-in information. Requests made while signed in are linked to your account. WordPress stores passwords in a protected, hashed form.
- Technical information: our hosting and security services may record your IP address, browser or device information, pages requested, times and errors. The request form uses a protected identifier derived from your IP address to limit repeated submissions.
- Messages: information you provide when you contact us by email, telephone or WhatsApp.
We need your name, email address and hire details to review an online request. Your telephone number and extra message are optional. Please do not enter payment-card details, identity documents, health information or other sensitive information in the booking message.
The website currently takes booking requests rather than payments. It does not collect payment-card details. If a hire needs further information, we will explain what is needed and why before collecting it.
3. Why we use your information
- To respond to hire enquiries, prepare quotes and arrange bookings: we use information to take steps at your request before entering a contract, and to perform a hire contract where one is agreed.
- To manage accounts, maintain booking records, answer general enquiries and protect the website: we rely on our legitimate interests in running a reliable hire service, preventing misuse and resolving problems. We consider your rights when doing this.
- To meet applicable legal obligations: we may retain or disclose information required for accounting, tax or other legal duties.
- Where we ask for consent: you can withdraw it at any time. Withdrawing consent does not affect processing that was lawful before withdrawal.
Submitting a booking request does not subscribe you to marketing. Availability and price checks are automated, but we review booking requests before confirming a hire. We do not use the booking system to make decisions with legal or similarly significant effects solely by automated means.
4. Who receives your information?
Your request is stored in our WordPress booking system and is accessible to authorised people who administer the business. We use IONOS to host the website, and website support, security and backup services may process information needed to keep it working.
Communication providers process messages when you contact us through their services. For example, if you follow our WhatsApp link, WhatsApp processes your use of that service under its own privacy information. Opening an external link takes you to a separate service.
We may share relevant information with professional advisers or public authorities where necessary for legal obligations, a dispute or the protection of our rights. We do not sell your personal information.
5. Processing outside the UK
Some technology and communication providers operate internationally. Where our use of a provider involves a restricted transfer of personal information outside the UK, appropriate protections are required, such as an applicable adequacy decision or approved contractual safeguards. Contact us if you would like information about the providers and transfer arrangements relevant to your enquiry or booking.
6. How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected. We determine retention by considering:
- whether your enquiry is still open or a hire is being arranged or carried out;
- whether information is needed to support an active account or deal with a query, complaint or dispute;
- any applicable accounting, tax or other legal record-keeping requirements; and
- the period needed for security investigations and backup recovery.
When information is no longer needed, we delete or anonymise it. Cancelling a request does not immediately erase its administration history. Backup copies may remain until those backups are replaced or removed. You can contact us to ask for deletion; we will explain if there is a reason we must retain particular records.
7. Cookies and similar technology
WordPress uses essential cookies to check that cookies work, maintain a signed-in session and remember account preferences. These may include cookies named wordpress_test_cookie, wordpress_logged_in_*, wordpress_sec_* and wp-settings-*. Their duration depends on the cookie and whether you choose to stay signed in.
The current booking website has no advertising pixels or optional analytics configured as part of its booking features. If we introduce non-essential tracking, we will update this information and request consent where required. You can manage cookies through your browser, although blocking essential cookies may prevent sign-in from working.
8. Google and Apple sign-in
Google and Apple sign-in are not currently enabled. We will update this policy with the information received from those providers and how it is used before enabling those options.
9. Your privacy rights
Depending on the circumstances, you may ask to access your information, correct it, have it erased, restrict its use or receive a portable copy. You may also object to processing based on legitimate interests. These rights are subject to legal conditions and exceptions.
Contact info@lincsleisure.co.uk to make a request. We may need to confirm your identity before releasing or changing personal information. We normally respond within one month; if a lawful extension is needed, we will explain why.
You can also complain to the UK’s Information Commissioner’s Office (ICO) through ico.org.uk/make-a-complaint or by calling 0303 123 1113. You do not need to contact us first, although we welcome the opportunity to resolve a concern.
10. Changes to this policy
We will update this page when our services or use of personal information changes. The date at the top shows when this policy was last updated.
